Annual Whitehall HOA meeting

Thursday, October 13th from 6pm to 8pm

You are invited to Whitehall Community's annual Board of Directors meeting.  A BIG topic for discussion this year will be continuing with a neighborhood volunteer HOA board or hiring an outside management company. We really want everyone's input on this as it is would potentially raise HOA dues but we need volunteers to serve on the Board in order to manage it ourselves. There are many important issues to be discussed, and we can only achieve greatness with everyone's involvement.

If you are interested in volunteering in a board position for calendar year 2023 please submit your questions or interest to secretary@whitehallroswell.net, or alternatively you may also voice your interest at the October 13th meeting. Candidates for these positions must be current on their HOA dues.
Please be aware that all positions are open and anyone can be a candidate for any position.

At this time, we know we will have vacancies for the Secretary and Treasurer positions for 2023. Please familiarize yourself with the responsibilities if you are interested and feel free to reach out to any current board members for more information. Here are the descriptions for the positions:

President (officer position) – The president will serve as a spokesman during meetings with the board of directors and lead community HOA meetings. The president will have authoritative say in daily functions of the HOA.

Vice President (officer position) – The vice president will be ready to assume responsibility should the president be absent from a meeting, resign from duties or be dismissed by a majority vote of the board of directors. The vice president must act within the best interests of the community.

Secretary (officer position) – The secretary is responsible for keeping all of the official records for the association. This person will keep a log of minutes at each board meeting, including what was discussed during the meetings and all board votes. The secretary is also responsible for preparing communications to the members of the association and responding to inquiries.

Treasurer (officer position) – The treasurer is responsible for all securities, funds, and records of finances, which belong to the homeowners’ association. The treasurer is responsible for creating a proposal for the annual budget and preparing the financial report for board meetings and the annual meeting.

Member at Large – The member at large is responsible for over-seeing ACC and all special projects for the community, and is a full voting member of the board.

We are looking forward to hearing if you might be interested in volunteering for any of these positions. Semi-annual dues (not special assessments) are reimbursed to board members after the first six months of service. Anyone wishing to designate a proxy to vote for them during the annual meeting must complete the attached Proxy Form and turn it in to one of the current board members. Please be sure to fill out all information, including the name of the person being appointed as proxy. Unsigned proxies cannot be accepted. Remember, you may instruct a proxy to vote for the candidate you want, but signing the proxy form gives the appointed person the ultimate say in the voting process.
